How to Sync Zoho Books and Zoho CRM for organizations with multicurrency transactions

-       View key accounting metrics directly from CRM and sync transactions in both apps

Before getting started, you should

-       Have a professional plan or above

-       Base currency should match the base currency in Zoho Books, in case you have activated multi-currency in Zoho CRM

Ø How to integrate?

 

CRM integration from Zoho Books:

 

-       Select Zoho Apps from the Settings Menu.

-       Click connect beside Zoho CRM

-       Under CRM credentials, select Connect again 

-       Enter email and ZSC key

-       Save

 

Ø Configure modules

Select what you wantto sync between Zoho CRM.

-       Go to settingsand select Zoho Apps

-       Click showdetails

In configure modules to be synced, select the modules you want to configure. The synchronization of customers, vendors, and items is possible

Ø How to sync transaction modules?

Books elements like Invoices, Sales, and Purchase Orders can be synchronized with Zoho CRM:

-       Clicking on settings and selecting Zoho apps

-       Select show details

-       Select enable in the “sync transaction module” and confirm

From Zoho Books you can access Zoho CRM contacts depending on how you synced them.

To view all imported accounts

 

-       Visit sales>customers>All customers>CRMconsumers

-       Transactions can be created for the accounts imported as well as the accounts not imported by:

-       Creating new sales transaction

-       Click the "Magnifying glass" icon 

-       Click Zoho CRM after the popup, enter the name, andclick GO

-       Select the account 

Ø Multicurrency

 

If your business deals internationally, Zoho CRM's support for multicurrency makes it easy to manage business transactions in aglobal marketplace. Multicurrency will make international purchasing andselling easier.

 

 It helps you to Determine the worth of anopportunity in the currency in which the transaction is conducted, as well as in the local currency of the customer. Produce and display reports in the currency of your organization.

 

The ability to work with many currencies streamlines the management of cross-border transactions and makes it simpler to automate large amounts of data.

 

-       Home Currency: The basic currency that your organization uses for its business, i.e., annual reports or income calculation

-       Active currency: the currency in which the organization does its business

-       Inactive currency: the discarded currency

-       Exchange rates: the rate of exchange of one currency to other

 

Ø How to activate Multi currency and home currency?

 

To apply home currency, users need to first activate multicurrency. Once the multicurrency feature is active, the users cannot deactivate it.

After activation

A value of 1 is used as the standard for the exchange rate.

Home currency is applied to all the existing records in the CRM.

 

To activate multicurrency and add home currency

-       Setup> General>Company details>currency tab

-       Select home currency

-       To change or customize to change decimal/thousands places

-       Click ok and confirm

 

 

After this user can other currencies used by the business, to do so:

-       Setup> general>company details>currencies

-       Add currency

-       Select the currency (this will be set as home currency)

-       Customize to change the format of the currency

-       Enter the exchange rate for the currency and click save

You can change exchange rates by

-       Setup>general> company details> currency

-       Click on currency and click on edit currency to change the exchange rate of the currency

-       Save

 

The currencies which are not in use by the organization can be deactivated

-       Setup>general>company details>currencies

-       Toggle status to inactive

Toggling the currency's status to "active" will reactivate it.

before you start using multi-currency feature you need to add home currency and multiple other currencies. With which the monetary value of records can be defined. Create quotes and invoices and import records.
